Privacy Policy

MySpaceHub is run by Felament Ltd ("we", "us"), a property management and refurbishment company based in Dunstable, England. This policy explains how we handle personal data for visitors to myspacehub.co.uk and for people who have a MySpaceHub account — agents, landlords and tenants — including anyone who joined our waitlist.

What we collect

If you only visit the public pages, we collect nothing beyond what any website receives automatically (such as your IP address and browser type). If you have an account, or we manage a tenancy you are part of, we hold:

• Account details: your name, email address, phone number, role (agent, landlord or tenant), login ID and a hashed password. Agents and landlords give these details themselves when they register; a tenant's details are entered by their agent or landlord, and the tenant is asked to accept this policy the first time they log in. We record when you accepted it.
• Tenancy and property records: property addresses, rent amounts and due dates, rent payments, deposits, referencing information, tenancy agreements and safety certificates (such as gas, EPC and EICR).
• Maintenance and inspection records: repair and work reports, notes, inventory and inspection reports, and the photos, videos and PDFs attached to them.
• Contact details of tradespeople we use (name, phone number, profession and our notes on their work).
• Feedback you send us through the Feedback button: your message, any screenshot you attach, the page you were on, your role and login ID, and your browser type.
• If you joined our early-access waitlist: the name and email address you gave us. If you email us, we keep your message and address so we can reply.

How we use it

We use this information to run your account, manage tenancies and maintenance, produce statements and reports, and keep the service secure. We do not sell your data or use it for unrelated marketing. Waitlist details are used only to tell you about MySpaceHub and ask for feedback.

Legal basis

We process account and tenancy data to provide the service and manage tenancies (performing our contracts and our legitimate interests in running and securing MySpaceHub), and to meet legal obligations such as safety and financial record-keeping. Where we rely on your consent, such as for the waitlist, you can withdraw it at any time by asking us to delete your details.

Who can see it

Access depends on your role: agents at Felament manage the records, and landlords and tenants see the information relevant to their own property or tenancy. New agent and landlord registrations are reviewed and approved by Felament before they can log in. We use a small number of service providers to run MySpaceHub (listed below). If you choose to send a work report through WhatsApp, its text is shared with that service in the usual way. Feedback reports are read by the Felament team and by an AI assistant (Claude, made by Anthropic) that helps us group and review them. It only suggests changes; people decide what is fixed.

Where it's stored

Records are stored with Google (Sheets, Drive and Apps Script) and with Supabase (database and private file storage, used for work reports and their photos, and for registration and login accounts). Feedback reports are saved in Google Sheets and copied to Notion, and attached screenshots go to a private Google Drive folder. The site is hosted on Cloudflare. Pages load fonts from Google Fonts and, on the Reports page, a code library from jsDelivr, so your IP address is shared with those services when a page loads. These providers have their own security and privacy safeguards, but data may be processed outside the UK/EEA as a result.

How long we keep it

We keep account details while your account is active. Tenancy, maintenance and financial records are kept for as long as the tenancy and our legal, tax and insurance record-keeping obligations require, and are then deleted or anonymised. Feedback reports are kept while we review and act on them, then deleted or anonymised. Waitlist details are kept until we contact you about MySpaceHub or you ask us to remove them, whichever comes first.

Your rights

Under UK GDPR you can ask us to access, correct or delete your personal data, or to tell you what we hold. To do so, email info@felament.co.uk. You can also complain to the Information Commissioner's Office (ICO) if you're unhappy with how we've handled your data.

Cookies and similar storage

This site does not use tracking, analytics or advertising cookies. Cloudflare may set essential cookies needed to serve the page securely. When you log in, your browser stores a login token (and, for accounts made on the register page, a sign-in token from our login provider) and your name and role so you stay signed in: if you tick "Keep me logged in on this device" this is kept until you log out, otherwise it is cleared when you close the tab. It also remembers your grid or list layout choice. You can sign out at any time with the Log out button, which ends that device's session.

Changes to this policy

We'll update this page when what we collect or how we use it changes, and will note the date of the latest change above.
